Inviting team members and understanding roles

If you manage properties with a co-host, cleaner, or property manager, you don’t need to share your login — Ownia supports inviting other people into your organization with their own account and an appropriate level of access.

Where to invite people

Go to Settings → Team. You’ll see your current members and any pending invitations listed separately. To invite someone, enter their email address, choose a role, and click Send Invitation — they’ll receive an email with a link to accept and set up their own account.

The three roles

  • Admin — full access, including billing, subscription plan, and team management. Give this only to people you’d trust with account-level and financial control.
  • Manager — can manage properties and bookings (calendar, pricing, messages, bookings), but cannot manage the team or billing. This is the right fit for a property manager or co-host who runs day-to-day operations.
  • Viewer — read-only access. Useful for an owner who wants visibility into bookings and revenue without being able to change anything, or for accountants who need to see booking data without touching it.

Choosing the right role

A simple way to decide: if someone needs to make day-to-day decisions about pricing, availability, or guest communication, they need Manager. If they only need to see what’s happening, Viewer is enough and safer. Reserve Admin for actual owners or business partners, since it includes billing and the ability to remove other team members.

Managing existing members

From the same Team page you can see who’s already a member, resend a pending invitation if it wasn’t accepted yet, or remove access for someone who no longer needs it. Removing a member doesn’t affect any bookings or data they created — it only removes their access going forward.
